CRIARL Meeting Minutes
March 20, 2009
Warwick Public Library

Present: Julia Tryon (PC) Chair, Deb Angelo (PC), John Fobert (RWU), Rachel Carpenter (RIC), Sonita Cummings (War) , Niles Madsen (War), Deb Mongeau (URI)

Minutes from the Nov 21, 2008 meeting were accepted.

Julia distributed marketing and promotional materials she received from the FDLP.

PC - PC is celebrating their 40th year as a depository library.

Warwick Public. - Sunny Cummings is retiring. Niles Madsen (nilesmadsen@gmail.com) will be taking on the federal depository responsibilities and Cynthia Trainer will have responsibilities for RI State publications.
Warwick has dropped their MARCIVE WebDocs product. This is a money saving measure.
They will be retaining the cataloging records for the documents they keep.

URI- URI has created a scope for curriculum materials which are gov pubs/depository items.
The Gov Docs office has no more regular staff – student employees do all the work.
URI endowment funds have dropped so much that they are being frozen
All periodical subscriptions have been cancelled including REF serials.
URI will be setting up a learning commons at the library.

RWU is reviewing its map collection

CT- Nancy has set up a Wiki which has the Regional library’s policies, guidelines etc. for depository libraries in CT and RI. http://FDLPCTRI.pbwiki.com

Last Copy policy. John drafted and distributed the following language for a last copy policy.

As a group we believe in the concept of collection development and in this spirit we agree that when libraries drop uniquely held items, other members will be notified. When possible, these drops should be held until the annual add period in order to give other libraries a chance to select the item and prevent gaps in coverage.
Committee members agreed to review the CRIARL Gov Docs Webpage and issues related to it such as accessibility, location, responsibility/maintenance, etc.

The next meeting of the CRIARL Government Documents Committee will be held on June 12th, 2-4 pm at the Warwick Public Library.
