Refreshments and introductions were held in the State Library and the Director, Steve Fulchino and Head of Reference, Alix Quan, were introduced.

 

We then proceeded to one of the Legislative hearing rooms….

The minutes were approved as distributed.

The treasurer’s report was accepted.  There is $1168.96 in the account….it is expected to spend approximately $650 for the Stat-USA program.

 

A nominating committee was “volunteered”…..Jim Walsh will chair and Len Adams will serve with him.. The positions to be filled are:  Vice-Chair (chair-elect) and Secretary.  Connie Reik is the incoming chair and Julia Tryon agreed to continue to serve as Treasurer.  The Nominating Committee will report at the May meeting.

 

There was a question about the GPLNE archives which are housed at Wellesley.  This answered the question.

 

Stat-USA training will be at Roger Williams on May 21st.  There will be 29 computers available.  The registration form will be on the GPLNE website..it will be $25 including lunch…9-12; 1-3:30.  Julie Linden of Yale will be coordinating.

 

 

ALA Mid-Winter was briefly discussed vis-à-vis NTIS….we all have received the emails about this.

 

****5 of the 6 State Documents Librarians were unable to attend….Julie Schwartz of the Connecticut State Library sent a written report (Donna has this and will attach, See below)….because of the inclement weather.  Bette L. Siegel of the State Library of MA gave out copies of the Library’s CHECKLIST and explained how documents are obtained; processed and filmed.  It was suggested that this program be repeated in the fall with all in attendance.

 

Ideas for lunch were announced and a time to meet to take the tour of the Athenaeum at 2 pm.

Report to GPLNE on Connecticut State Documents Depository activities

  1. Best Copy Project. Library staff have just finished a project to move one copy of all barcoded state documents to a caged area for enhanced security. In most cases, one or more circulating copies of these documents remain in the stacks for patron use.
  2. Outreach. Library staff have been making site visits to state agencies to educate them about the State Documents Depository Program and the Connecticut Digital Archive. Staff have been giving presentations to state agency staff about State Library reference resources.
  3. State Agency Histories. Staff have created over 150 state agency history Web pages that include links to the agency’s Web page and its enabling statutes, the dates of agency name changes, consolidations or divisions, as well as other pertinent information. See www.cslib.org/agencies/index.htm
  4. Connecticut Digital Archive. This project, begun in 1999 by cataloging Connecticut state born digital publications, continues to grow and develop. In 2002 staff began adding these publications to OCLC’s Digital Archive, thus preserving permanent copies while making them freely accessible through our OPAC, our statewide Union Catalog, and WorldCat. At the present time the archive contains over 8,000 publications. See www.cslib.org/CTDigArch.htm for more information.
  5. Library of Congress NDIIPP (National Digital Information Infrastructure Preservation Program) grant: ECHO DEPository and Web Archives Workbench (WAW). In 2004, one of the NDIIPP grants was awarded to the University of Illinois at Champaign-Urbana, OCLC, a consortium of five state libraries (Connecticut, Wisconsin, North Carolina, Illinois and Arizona) and other cultural institutions. Through this grant, OCLC is developing a Web Archives Workbench that allows harvesting of entire Web sites or parts of Web sites. The WAW is being integrated with the OCLC Digital Archive software (part of Connexion), so that items harvested through the WAW can be cataloged and made accessible through WorldCat, other library catalogs, or Web presentations. In this way, we will be able to extend the capabilities of the Connecticut Digital Archive to capture a greater part of the state born-digital public record.
